Inviting your team

Creating an invitation link, choosing from the fourteen roles and what each one can do, how seats are counted, and what the team page cannot do.

People join your organisation by invitation. You create an invitation for an email address and a role, and you are given a one-time link to send them yourself. Social Studio does not email it, because nothing in this product sends mail.

The role decides what they can do, everywhere. There are fourteen, each a fixed set of permissions.

Owner has everything. Organisation Admin has everything except billing and spending. Brand Manager can create, write, generate, spend, approve, publish and connect. Strategist, Creator and Editor can create, write and generate. Approver can view and approve. Publisher can view and publish. Community Manager can view, reply and moderate. Analyst can view and export. Billing Admin can view, bill and export. Client Reviewer can view and approve. Developer can view, connect and administer. Read-only can view.

Two of those are worth flagging. Developer carries administer, so it is an administrative role rather than a limited one. And only Owner and Brand Manager carry the permission to spend.

BEFORE YOU START

  • The "administer" permission. Only an organisation admin can invite.
  • A free seat. Your plan includes a number, and a pending invitation reserves one.
  • A way to send the link, since you will be sending it yourself.

STEPS

  1. Open Team, or go to /app/team for your organisation.
  2. Enter the email address and choose the role.
  3. Choose "Create invite link".
  4. Copy the link shown. It is a one-time link and it lasts fourteen days.
  5. Send it to the person however you normally would.
  6. Revoke a pending invitation you no longer want, from the list underneath.

WHAT YOU SHOULD SEE

The invitation listed as pending with its email and role, and the link shown once for you to copy.

WHAT THIS WILL NOT DO

  • It will not email the invitation.
  • It will not list your existing members, change a member's role, or remove one. None of those exists in the product. A role is set at invitation time.
  • It will not create a custom role. The fourteen system roles are the templates.
  • It will not enforce a downgrade. Reducing your plan removes nobody; the cap applies only when you try to add.

WORTH KNOWING

Single sign-on and directory provisioning are included on some plans and are set up per organisation from your identity provider's details, by support rather than from this page. Saving those details does not switch anything on: the connection has to pass verification and then be enabled explicitly. Until it is, everyone joins by invitation here, including anyone whose connection is configured but not yet enabled.

IF IT DOES NOT WORK

  • "Only an organisation admin can invite teammates."
  • "Your plan includes 5 team seat(s) and all 5 are in use, including 1 pending invitation(s). Remove a member, revoke a pending invitation, or upgrade to add more."
  • "This organisation has no free team seats." at the moment somebody accepts means the seat went while their invitation was waiting. The invitation stays valid; free a seat and they can use the link again.
  • "That role does not exist for this organisation."
  • "This invitation has expired. Ask the organisation admin for a new one." and "This invitation has already been used." are what your colleague sees.
  • "This account was erased from the organisation at its own request, and that cannot be undone by accepting an invitation."
  • "The request did not complete, so it is not known whether an invitation was created. Reload the page to check before sending another."

COMMON QUESTIONS

How do I give somebody access to only one client?

Roles are organisation-wide. Client separation is done with workspaces, by adding people to the workspaces they should reach.

Someone left. How do I remove them?

There is no control for that in the product today. It is a real gap rather than something hidden in a menu.
