Organising work into campaigns

Grouping content under a campaign, drafting into it, and moving a whole campaign through review with the bulk controls on the campaign page.

Updated

A campaign groups the content that belongs together: a launch, a season, an offer. Everything you write is filed under one, and the campaign page is where a batch of drafts is submitted, approved or sent back in one pass.

A campaign belongs to a brand. If the organisation has no brand in a workspace you can reach, the page says so and offers to create one rather than showing an empty form.

BEFORE YOU START

  • The "create" permission to make a campaign or draft content into one.
  • The "create" or "edit" permission to submit content for review, and "approve" to approve or request changes.
  • A brand in a workspace your access reaches.
  • Somebody other than the author to approve. Approval needs a second person, and the page says so above the controls.

STEPS

  1. Open Campaigns, or go to /app/campaigns for your organisation.
  2. Search the list, or fill in the "New campaign" panel: a name, an optional goal, and the brand it belongs to. Choose "Create campaign".
  3. Open a campaign to see its content and its status.
  4. Draft into it with the "New content" composer at the bottom of the campaign page.
  5. Tick the items you want to move. Use "Select all" for the whole list.
  6. Choose "Submit for review", or, if you are reviewing, add a note and choose "Approve" or "Request changes".

WHAT YOU SHOULD SEE

A summary of what happened, in the form "7 updated, 2 skipped." Skipped items are named with the reason they could not move, so a partial result is never reported as a whole one.

WHAT THIS WILL NOT DO

  • It will not let you approve your own work. "Authors cannot approve or review their own content." Selecting your own drafts and approving simply skips them.
  • It will not move more than 100 items in one request.
  • It will not approve content Brand Guard blocks, unless an approver overrides it with a recorded reason, and some blocks cannot be overridden at all.
  • It will not tell you a campaign is in another workspace. An unreachable campaign and an unknown one both return you to the campaign list, with no message, on purpose.
  • It will not do any of this on your phone. The mobile campaign screens list campaigns and their content and offer no bulk controls, no search and no campaign creation.

IF IT DOES NOT WORK

  • "Needs a brand first" with "A campaign belongs to a brand, and this organisation has none yet." means create a brand before a campaign.
  • "Already waiting for review", "Already approved", "Not submitted for review yet" and "Not awaiting review (draft)" are the per-row reasons an item was skipped.
  • "Content in status 'approved' cannot be edited; return it to draft first." is the lifecycle refusal for editing.
  • "This content has no saved version to review yet." means nothing has been written into it.
  • "This content asserts 2 fact(s) that are not supported yet" means grounding is missing.
  • "That bulk action could not be completed." and "Could not create content." are the fallbacks when the server gave no message.
  • Where a selection is mixed, the page says how many of the selected can actually move and offers "Select only those".

COMMON QUESTIONS

Why did some of my selection not move?

Because eligibility is per item and is checked on the server. The result summary counts both, and the rows carry their own reasons.

Can I review a whole campaign in one place?

Yes. "Review whole campaign" opens a review screen built for the batch, with a single note applied to every item you send back.

  • Reviewing and deciding on content

Working the approvals queue, what "edited since submitted" means for your decision, and the separation-of-duties rule that stops an author approving their own work.

  • Using the calendar

Reading and rearranging everything scheduled across an organisation, what can and cannot be moved, and the reason each blocked item gives.

  • Writing and approving content

The content editor - saving versions, submitting for approval, approving, and why an author cannot approve their own work.
