Managing locations
Setting up branches, venues or franchises under a brand, who can reach a restricted location, and why the page reports activity per branch rather than performance.
Updated
A location is a branch, venue, franchise or territory under a brand. Creating one lets you plan and report on it separately from the rest of the brand.
A location is either open to everyone who can reach its workspace, or restricted to named people. The page says which, per location, and never guesses from an empty member list.
Locations are a plan capability. Only the larger plans include an allowance, and an organisation whose plan carries none is told so plainly rather than shown a form that will refuse.
BEFORE YOU START
- A plan that includes a location allowance. Without one the page says your plan does not include locations, and nothing else.
- The "administer" permission to create a location. Everyone with workspace access can read the ones they can reach.
- A brand in a workspace you can reach. A location belongs to a brand.
STEPS
- Open Locations, or go to /app/locations for your organisation.
- Read the headroom line: how many locations are in use across the organisation, out of your plan's allowance, and how many of them you can see.
- Choose the brand and give the location a name, for example a town or a district.
- Choose "Create location".
- Read the cards. Each says whether it is restricted or open to its workspace, its timezone, and whether you manage it.
- Read "What each branch has produced" underneath for content counts per location.
WHAT YOU SHOULD SEE
The location listed with its access marker, and the headroom line moving by one.
WHAT THIS WILL NOT DO
- It will not report performance per branch. Recorded results are keyed by workspace and platform, and no metric or conversion carries a location, so engagement by branch would be a number with a plausible shape and no defensible meaning. What is reported instead is activity: how much content each branch produced, by lifecycle status, and how much of it reached a publish job.
- It will not manage members from the page. Adding and removing named people, renaming a location and deleting one exist behind the API and have no screen in either client.
- It will not create a location on your phone. The mobile screen shows every location you can reach and opens one; creating, renaming and choosing a brand are web work, and it says so.
- It will not go over your allowance. When all included locations are in use, the form says so.
IF IT DOES NOT WORK
- "Your plan does not include locations. Multi-site management is available on plans that include a location allowance. Nothing has been removed - this organisation has never had locations enabled."
- "Your plan includes 10 locations and all are in use." means free one up or upgrade.
- "A location belongs to a brand, and there are no brands in a workspace you can reach yet. Create a brand first."
- "Only a location manager or org admin can change this location." and its siblings for removing a location or managing members are the access refusals from the API.
- "That user must be an organisation member first." means invite them before adding them to a location.
- "This organisation has locations, but none in a workspace you can reach." is a real state, not an empty organisation.
- "Could not create that location." and "The request did not complete, so it is not known whether the location was created. Reload before trying again." are the two failure kinds.
COMMON QUESTIONS
What is the difference between a location and a workspace?
A workspace is an isolated boundary for a business or a client. A location sits under a brand inside a workspace and separates sites within one business.
Why is my plan reported as having no locations when I expected some?
Only the larger plans publish a location allowance. A plan that publishes none resolves to zero, which the page states rather than hiding.
